Storage and security:
Audio recordings are encrypted and stored securely. Access is limited to authorized systems and personnel necessary to provide our services.
Biometric Data Notice:
Voice recordings and voiceprints may be classified as biometric data or biometric identifiers under certain state laws, including the Illinois Biometric Information Privacy Act (BIPA), the Texas Capture or Use of Biometric Identifier Act (CUBI), and the Washington My Health MY Data Act. VoiceWeave processes voice data solely to provide its interview transcription and analysis services and does not sell, lease, trade, or profit from biometric data.
If you are a resident of Illinois, Texas, Washington, or another jurisdiction with biometric privacy laws:
- We collect voice data only for the purpose of providing transcription and interview analysis services
- We do not sell, lease, trade, or profit from biometric data
- We retain voice data only for as long as necessary to fulfill the purposes described in this Privacy Policy
- Upon account termination or upon verified request, we will delete voice data in accordance with our data retention policy

7. ARTIFICIAL INTELLIGENCE AND AUTOMATED PROCESSING
In Short: We use AI to transcribe recordings and generate insights from your interviews.
We use artificial intelligence and automated systems to:
- Transcribe audio recordings into text
- Generate summaries of interview content
- Extract key quotes and themes from conversations
- Analyze conversation patterns and topics
- Provide insights and analysis from interview data
Accuracy and limitations:
While our AI systems are designed to be accurate, automated transcription and analysis may contain errors. We recommend reviewing generated content for accuracy. We may access or review recordings and related data for debugging, quality assurance, safety, or support purposes.
8. FAMILY SHARING AND ACCESS CONTROLS
In Short: You can invite family members to access interview content with specific permission levels.
Our service allows you to invite family members to access interview content with different permission levels:
- Viewer: Can view interviews, transcripts, and summaries
- Editor: Can schedule interviews, view content, and manage scheduling
- Owner: Full access including ability to invite others and manage all settings
What we collect for invitations:
When you invite family members, we collect:
- Their email addresses for sending invitations
- Their names for identification purposes
- Access level preferences you set
Invitation process:
Invited users must accept invitations to gain access. They will create their own accounts and agree to this Privacy Policy. You can revoke access at any time through your account settings.
9. IS YOUR INFORMATION TRANSFERRED INTERNATIONALLY?
In Short: We may transfer, store, and process your information in countries other than your own.
Our servers are located in the USA. If you are accessing our Services from outside the USA, please be aware that your information may be transferred to, stored by, and processed by us in our facilities and in the facilities of the third parties with whom we may share your personal information, in the USA and other countries.

When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymize such information, or, if this is not possible (for example, because your personal information has been stored in backup archives), then we will securely store your personal information and isolate it from any further processing until deletion is possible.

Specific rights for audio data:
- Request deletion of specific audio recordings
- Download copies of your transcripts and summaries
- Request information about how your audio data has been processed
- Object to certain types of processing
Upon your request to terminate your account, we will deactivate or delete your account and information from our active databases. However, we may retain some information in our files to prevent fraud, troubleshoot problems, assist with any investigations, enforce our legal terms and/or comply with applicable legal requirements.
Rights of Non-Account Interviewees:
If you have been recorded through VoiceWeave's Services but do not have a VoiceWeave account (i.e., you are an Interviewee whose recordings were arranged by another user), you retain the following rights regarding your personal data:
- Right to Access: You may request information about what recordings, transcripts, and personal data we hold about you.
- Right to Deletion: You may request deletion of your voice recordings, transcripts, and associated personal data.
- Right to Correct: You may request correction of inaccurate personal information we hold about you.
- Right to Withdraw Consent: You may withdraw consent to future recordings at any time by contacting us.
To exercise these rights, please contact us at [email protected] with "Interviewee Data Request" in the subject line. Please include your name and the approximate date(s) of any interviews. We will verify your identity and respond within 30 days. We will notify the account owner of requests that affect their Interview Content.
14. CALIFORNIA PRIVACY RIGHTS (CCPA/CPRA)
In Short: If you are a California resident, you have specific rights regarding your personal information under the California Consumer Privacy Act (CCPA) as amended by the California Privacy Rights Act (CPRA).
Right to Know: You have the right to request that we disclose what personal information we collect, use, and disclose about you, including the categories of personal information, the purposes for collection, and the third parties with whom we share it.
Right to Delete: You have the right to request deletion of personal information we have collected from you, subject to certain exceptions permitted by law.

We do not sell personal information. We do not share personal information for cross-context behavioral advertising.

Authorized Agent: You may designate an authorized agent to make a CCPA/CPRA request on your behalf. We may require written proof of the agent's authorization and may verify your identity directly.
15. CONTROLS FOR DO-NOT-TRACK FEATURES
Most web browsers and some mobile operating systems and mobile applications include a Do-Not-Track ("DNT") feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. At this stage, no uniform technology standard for recognizing and implementing DNT signals has been finalized. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked online.
